Privacy Policy
Effective date: 2026-09-01
This policy explains what information Raptly processes through this website and through the Raptly app and owner cockpit, why we process it, who helps us, and the choices you have.
Information this website collects
This website does not use cookies, analytics, advertising tags, or third-party scripts, fonts or embeds. It does not ask you to sign in or to submit a form.
As with any website, the servers that deliver it receive technical request information, such as your IP address, browser type and the page requested. We and our hosting and content-delivery providers use it to deliver the site and protect it from abuse, and keep it only for a short period.
If you email us, we receive your email address and whatever you choose to include, and we use it to reply to you.
Information the app and owner cockpit process
The service is used by home-services businesses (our customers) and their technicians. When a business uses the service, we process the following information on the business’s behalf.
Account and roster information: the business’s name and contact details, the owner’s email address, technicians’ names and preferred language, and an identifier the app generates for each paired device.
Job information from the business’s field-service management software, such as scheduled jobs, customer names and service addresses, equipment and price-book items, so that technicians can see their work.
Content technicians capture: voice recordings and their transcripts, notes, photos of equipment and job sites, equipment serial and model numbers, truck stock counts, price-book selections, membership-offer answers and closeout checklist answers.
Customer consent signatures, captured on the device before a technician records audio on a customer’s property.
Job check-in and check-out times, used to credit shared work to everyone who did it.
Vehicle positions from the vehicle telematics devices the business chooses to connect. The app does not collect location from technicians’ phones.
Crash and error diagnostics from the app, such as device model, operating system version and technical details of the error, linked to account identifiers rather than names.
Information owners enter in the cockpit, such as marketing spend by channel, and public business-listing information, such as ratings and review counts, for the business and nearby competitors.
Text on equipment nameplates is read on the device itself. A photo leaves the device only when the technician saves it with the job.
How we use information
To provide the service to the business: showing technicians their jobs, turning recordings into draft fields for the technician to confirm, suggesting price-book items, sending the information the business has approved to its field-service management software, and preparing the owner’s reports and weekly summary.
To keep the service secure and working, including investigating crashes and errors.
To communicate with the business about its account and to answer support requests.
We do not sell personal information and we do not use it for advertising.
Service providers (subprocessors)
We use service providers to operate the service. They process information only on our instructions and only to provide their service to us, under written agreements that require them to protect it.
Cloud hosting and infrastructure providers, which host the application, its database and stored files, and deliver this website.
Artificial intelligence speech and text processing providers, which convert voice recordings to text and turn transcripts into draft job fields for the technician to review.
An error-diagnostics provider, which receives crash and error reports from the app.
An email delivery provider, which sends sign-in links, account emails and the weekly summary.
Business-listing data providers, from which we read public ratings and review counts.
Vehicle telematics providers that the business connects, from which we read current vehicle positions, and the field-service management software and team chat tools the business connects.
A current list of our subprocessors is available on request from the contact address at the end of this policy.
How long we keep information
We keep information for as long as the business’s account is active and as needed to provide the service. After an account ends, we delete or anonymize the information within a reasonable period, unless the law requires us to keep it longer.
Job check-in and check-out records are kept unchanged for the life of the account, because they are the record of who worked each job.
Crash and error diagnostics are kept for a limited period to investigate problems.
A business can ask us to delete its information at any time. Deletion on request applies to all information except records the service keeps unchanged for the life of the account, such as job check-in and check-out records, and records we must keep by law.
No movement history
The service is a coordination tool, not a monitoring tool. It shows each vehicle’s most recent position together with how old that reading is.
It has no movement history, location history, route history or breadcrumb trail for any technician, and no screen, report or export that shows where a technician has been over time.
The app does not collect location from technicians’ phones.
The service keeps only the latest position for each vehicle. A business’s own vehicle-telematics provider may keep trip history under that provider’s own terms, which this policy does not cover.
How we protect information
Information is encrypted in transit. Credentials for the software a business connects are encrypted at rest.
Each business’s information is kept separate from every other business’s information at the database level, and access by our staff is limited to what is needed to run and support the service.
Your choices and rights
If you are a technician or a customer of one of our customers, the business you work with controls its account. You can ask that business, or us, for help with your information.
Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information, and to not be treated differently for making a request. Deletion does not extend to records the service keeps unchanged for the life of the account, such as job check-in and check-out records, or to records we must keep by law. To make a request, email us at the address below. We will verify the request before acting on it.
Children
The service is for businesses and is not directed to children. We do not knowingly collect personal information from children under 16.
Changes to this policy
We may update this policy. The effective date at the top of this page shows when it last changed. If a change is material, we will tell account owners before it takes effect.
